Terms and Conditions for Highams Park Carpet Cleaners
These Terms and Conditions set out the basis on which Highams Park Carpet Cleaners provides carpet cleaning and related domestic and commercial cleaning services. By making a booking, confirming an appointment, or allowing our team to carry out work at your premises, you agree to be bound by these terms. Please read them carefully before arranging any service with us.
For the purposes of these terms, references to “we”, “us”, and “our” mean Highams Park Carpet Cleaners, and references to “you” and “your” mean the person, business, or organisation booking the service. These terms apply to all standard carpet cleaning appointments, stain treatment, upholstery cleaning where agreed, and any supplementary work quoted for separately. They are intended to create a clear understanding of responsibilities, pricing, access, and limitations of liability.
These terms are drafted to be fair and transparent and should be read alongside any written quotation, invoice, booking confirmation, or service description issued by us. If any specific written agreement conflicts with these terms, the specific written agreement will apply only to the extent of that conflict. All other parts of these terms will remain in force.
1. Booking Process
All bookings for carpet cleaning services are subject to availability and confirmation by us. A booking request does not constitute acceptance until we have confirmed the appointment and any relevant details. We may request information about the property, the type and condition of flooring, access arrangements, parking restrictions, and any issues that may affect the service. This information allows us to determine whether the work is suitable and to provide an accurate estimate or quotation.
When you request a booking, you confirm that you are authorised to arrange the service for the property concerned. You must ensure that all details provided are complete and accurate. If the information supplied is incomplete, misleading, or materially different from the situation on the day of service, we may revise the quotation, change the scope of work, or decline to proceed if the service cannot be safely or properly delivered.
We may require a deposit or pre-authorisation to secure an appointment, particularly for larger jobs, urgent bookings, or commercial contracts. Any booking that depends on a deposit will not be treated as final until the deposit has been received in cleared funds. We reserve the right to amend appointment times due to operational needs, weather conditions, staff availability, or other circumstances beyond our reasonable control.
2. Service Preparation and Access
You are responsible for ensuring that the area to be cleaned is reasonably prepared before we arrive. This includes moving light personal items, securing pets, and making sure that we can access the property and the rooms to be serviced. Unless otherwise agreed, we are not responsible for moving heavy furniture, fragile objects, electronics, or items that require specialist handling. If we agree to move items, we will do so only where it is reasonably safe and practical.
You must tell us in advance about any special conditions that could affect the cleaning process, including delicate fibres, pre-existing damage, water sensitivity, hidden stains, underfloor heating, electrical concerns, or previous treatments. Some carpets and fabrics may react unpredictably to cleaning products or moisture. While we use professional methods and reasonable care, we cannot guarantee the complete removal of all marks, odours, or contamination, particularly where staining is old, set in, or caused by substances that have damaged the material itself.
If the property is not adequately prepared, if access is delayed, or if we are unable to proceed because of unsafe conditions, we may charge a call-out fee, waiting time, or a cancellation fee in accordance with these terms. We will always try to act reasonably and to complete the service where possible, but the responsibility for suitable access and preparation remains with you.
3. Pricing and Payments
Prices for carpet cleaners services are normally based on room size, carpet condition, fibre type, service level, and any additional treatments required. Any quotation provided before the visit is based on the information available at that time and may be adjusted if the actual circumstances differ materially. Additional charges may apply for stain removal treatments, end-of-tenancy deep cleaning, heavy soiling, difficult access, parking costs, or out-of-hours work if previously agreed.
Unless stated otherwise in writing, payment is due immediately upon completion of the work. We accept payment methods notified during the booking process or on the invoice. If a deposit has been taken, it will be credited against the final balance. Invoices must be paid in full within the period stated on the invoice for business customers or account holders. Where payment is not made on time, we may charge interest and recover reasonable costs associated with collection, to the extent permitted by law.
All prices are quoted in pounds sterling and, where applicable, may include VAT or indicate that VAT is additional. Any promotion, discount, or special offer is subject to stated conditions and availability. We reserve the right to withdraw or amend offers at any time before a booking is accepted. A quotation is valid only for the period stated in it, or, if no period is stated, for a reasonable time given the nature of the work and market conditions.
4. Cancellations, Rescheduling, and No-Access Situations
You may cancel or reschedule a booking by giving us reasonable notice. Where a cancellation is received with insufficient notice, we may charge a cancellation fee to reflect lost time, reserved materials, and staff allocation. If we have already travelled to the property or started preparing for the job, you may be charged for work already undertaken. Any deposit may be retained in full or in part where the cancellation is late or where the job is no longer viable because of your actions or omissions.
If you are unable to provide access at the agreed time, if the property is unattended when required, or if essential permissions are not in place, we may treat the appointment as a cancelled or failed visit. We are not responsible for missed appointments caused by inaccurate instructions, locked premises, unavailable keys, restricted entry, or third-party interference outside our control. In such cases, any wasted journey costs or waiting time may be charged.
We may also reschedule or cancel an appointment where weather, safety, equipment failure, staff illness, or other unforeseen circumstances make performance impractical or unsafe. Where we do so, we will offer an alternative date or a refund of any deposit paid for the affected booking, subject to any work already properly completed. We will not be liable for indirect losses arising from a cancellation or rescheduling made for legitimate operational reasons.
5. Liability and Service Limitations
We will carry out all services with reasonable skill and care and in accordance with applicable industry standards. However, carpet cleaning services involve the use of water, heat, detergents, and machinery, all of which carry inherent risks to delicate or pre-damaged materials. You acknowledge that some degree of variation in result is normal and that certain stains, odours, wear patterns, shading, pile distortion, and colour transfer may not be removable.
We shall not be liable for damage caused by pre-existing defects, hidden weaknesses, manufacturing faults, unsuitable materials, improper installation, previous cleaning attempts, or failure to follow manufacturer care instructions. Nor shall we be responsible for damage resulting from items that are unstable, unsecured, or unsuitable for cleaning in their existing condition, provided we have acted reasonably and with due care. Where necessary, we may decline to clean specific items or may clean only at your risk after warning you of the possible consequences.
Nothing in these terms excludes or limits liability for death or personal injury caused by our negligence, fraud, fraudulent misrepresentation, or any other liability that cannot lawfully be excluded under UK law. Subject to that, our liability for any loss or damage arising from a service will be limited to the total amount paid or payable for the specific service giving rise to the claim. We will not be liable for loss of profit, loss of business, loss of opportunity, or any indirect or consequential loss.
6. Waste, Water, and Environmental Compliance
As a professional Highams Park carpet cleaner, we take our obligations regarding waste handling and environmental responsibility seriously. Waste water, residue, and removed debris generated during cleaning must be managed in a lawful and responsible manner. We will dispose of or contain waste in accordance with applicable UK waste regulations, environmental rules, and local disposal requirements, using methods that are proportionate to the type of service provided.
Where cleaning generates waste water, sludge, filters, packaging, or other residual material, we will take reasonable steps to prevent pollution, avoid blockage of drains, and reduce environmental harm. You agree not to ask us to dispose of materials unlawfully or in a way that could breach environmental legislation. If the property has restrictions, private drainage issues, or special disposal rules, you must tell us in advance so that we can plan the service appropriately.
Any items removed from the property for disposal or cleaning treatment remain your responsibility unless we have expressly agreed in writing to remove them as part of the service. We may refuse to handle hazardous substances, biohazards, asbestos-related debris, bodily fluids, or other regulated waste unless suitable arrangements are made and we are confident that the work can be carried out safely and lawfully. Additional charges may apply where specialist disposal is necessary.
7. Complaints, Reattendance, and Care of Treated Areas
If you believe that a service has not been carried out properly, you must notify us within a reasonable time after completion and before any relevant area is significantly altered, re-soiled, or treated by another contractor. We may request photographs, access to the treated area, or other information to help us assess the issue. Where a valid concern exists and the matter is within our control, we may offer reattendance, a partial refund, or another reasonable remedy at our discretion.
You must allow suitable drying time after cleaning and follow any aftercare instructions we provide. Premature use of the carpet, failure to ventilate, or cleaning by a third party after our visit may affect the result and void any right to a remedy for the affected area. We are not responsible for damage caused by pets, spillages, furniture replacement, or other post-service events beyond our control.
Any claim relating to our service should be raised promptly and in good faith. We will investigate concerns fairly and aim to resolve them without unnecessary delay. This complaint process does not remove any legal rights you may have under consumer law, but it is intended to provide a practical route for addressing issues in the first instance.
8. General Terms
We may assign or subcontract part of a service where it is reasonable to do so, provided this does not materially reduce the standard of care. You may not transfer your rights or obligations under these terms without our written consent. If any part of these terms is found to be invalid or unenforceable, the remainder will continue in full force.
Failure by us to enforce any right or provision at any time will not operate as a waiver of that right or provision. Any variation to these terms must be agreed in writing. Verbal statements made during booking or on site will not override these terms unless confirmed in writing by an authorised representative of our business.
These terms are intended to support a clear and professional relationship between you and Highams Park Carpet Cleaners. They reflect the practical realities of cleaning services, the need for fair payment, and the importance of lawful waste handling. By booking, you confirm that you understand the scope and limitations of the service.
9. Governing Law
This agreement, and any dispute or claim arising out of or in connection with it, shall be governed by and interpreted in accordance with the law of England and Wales. The courts of England and Wales shall have exclusive jurisdiction, except where consumer law requires otherwise. If you are a consumer, these terms do not affect any mandatory rights you may have under applicable legislation.
In entering into a booking with us, you acknowledge that these terms represent the full basis of the service relationship unless varied in writing. They are designed to be consistent with UK service standards and to protect both parties by clearly allocating responsibilities, payment expectations, and limits of liability. We recommend that you retain a copy of these terms for your records.
